Procurement Card (PCard)

The Department of Chemistry permits faculty, research lab managers, and staff to become Procurement Cardholders.  Use of the Procurement Card is a secondary purchasing measure only and the majority of purchasing should be submitted through the Purchase Request System or ChemStore/ChemStores East. This method requires that you know and follow University, Sponsor, State, & Federal fiscal regulations and provide all of the necessary documentation through the PCard Program including receipts and reporting.  If you have questions, please contact one of your purchasers. 

Common PCard Questions

To obtain a Procurement Card, fill out the  and submit via the Business Services Helpdesk or email the Director of Finance, Stephanie Preo, for department authorization. If you are a non-faculty member, you will be required to obtain written approval from your supervisor within the Department of Chemistry and provide that documentation with your completed application.

Once the department processes your request it will be submitted to the Procurement Service Center (PSC) for final processing. The applicant should receive his/her/their Procurement Card within 10 business days AFTER passing the following online courses in your Skill Portal within the CU Portal: 1) Procurement Card Cardholder Training, 2) Fiscal Code of Ethics Training, & 3) Procurement-Purchasing and Contract Management Training.

Per University Policy, the department determines the maximum dollar amount that each Cardholder can spend in a single transaction and the monthly limit for purchases. Due to the purchasing services provided with the Purchase Request System and will be set at $1500 for cardholders and cardholders are responsible to submit their receipts using the department processes on no less than a monthly basis. The maximum per-transaction limit allowed for any Procurement Card is $3,000 to meet Sponsored Project Uniform Guidance.

There are 2 easy ways that you can send in your receipts to the department procurement team for processing: 

  1. Concur Mobile App
    • ÍÃ×ÓÏÈÉú´«Ã½ÎÄ»¯×÷Æ· the Going Mobile with Concur webpage on the PSC website for information on how to set up the App.
    • The Concur Mobile Application can be used to snap pictures of the receipts at the time of purchase - saving you time during the expense report process - and reduces worries about losing those paper receipts.
    • Receipts are automatically uploaded to the Receipt Store.
    • When uploading the receipt you can choose to add it as a quick expense. This allows you to enter some basic information like the expense type, amount, and in the comment section provide what was purchased, the Business Purpose, and the ST to charge. 
  2. Concur at receipts@concur.com
    • Receipts can be sent via email to receipts@concur.com and it will automatically be waiting in the receipt store.  The receipt store is a feature within Concur that provides a document repository for receipts.
    • This feature is good for those receipts that you automatically receive via email from the Vendor - you can just forward it to receipts@concur.com and it will be placed in your receipt store.  You can also snap a picture of the receipt from your smartphone and send it to the receipt store - like you would when using the mobile app but you don't have to actually download the app to use this feature.
    • In order to use this feature you must first validate your CU email address in Concur - Click on Profile tab, then select Email Addresses on the left-hand side, scroll down until you see Email 1, click on verify.  You will receive an email verification from Concur - Please follow the steps in the email to complete the verification process. 
    • You may also add an additional email address if you would like to send receipts from another email address (home) to the receipt store or you may put your verified colorado.edu mail in the subject line.
    • As your delegate, I will use the Receipt Store to attach images to individual expenses(s) and allocate accordingly.
    • When forwarding the receipt, be sure to provide in the body of the email what was purchased, the Business Purpose and the ST to charge.
